Virtual Data Room Pricing in 2026
What you pay depends less on the brand than on how the provider bills and how big your deal is. Use the calculator to estimate your own cost, then compare the 18 providers we track, the four billing models and typical budgets by deal type.
Key takeaways
- 8 of the 18 providers we track publish a starting price, from $15/user/mo. The rest quote per project.
- Flat monthly pricing is usually the most predictable choice for small and mid-sized deals.
- Per-page billing looks cheap until scanned archives and spreadsheets inflate the page count.
- Deal length matters as much as size: budget for at least two extra months.
- 13 of 18 providers offer a free trial, so you can test before you pay.

The four data room pricing models
Most providers use one of these, sometimes combined. Knowing which one you are buying matters more than the headline number.
Flat monthly
About $15 to $600+ a month
A fixed fee per month or year, usually with unlimited guests on mid and upper plans.
Pros
- Easy to budget and compare
- No penalty for adding bidders or uploading more files
- Cancel when the deal closes
Cons
- Entry plans can cap admins or storage
- You keep paying if the deal stalls
Per user
About $15 to $100 per seat a month
A fee per paid seat, usually for your own team; some tools also count guests.
Pros
- Cheap for a handful of internal users
- Often part of tools you already pay for
Cons
- Costs rise as the deal team grows
- Deal features like Q&A are often missing
Per page
Roughly $0.40 to $0.85 a page
A charge for every page uploaded, sometimes plus a base fee and a set term.
Pros
- Fair for short deals with few documents
- Price tracks the size of the document set
Cons
- Scans, spreadsheets and drawings inflate page counts
- Hard to predict before the room is full
Per project
Often $5,000 to $50,000+ per deal
A custom quote per deal based on size, users, term and service level.
Pros
- Usually includes onboarding and round-the-clock support
- Room to negotiate on large deals
Cons
- No public price to compare
- Extension, overage and archive fees add up
Ranges are indicative market figures, not vendor quotes.
What drives the cost of a data room
Eight factors decide where your deal lands within a provider's price range.
- Document volumePages or gigabytes uploaded. The single biggest driver on per-page and per-project plans.
- Number of usersAdmins on per-seat plans; total guests on plans with user caps.
- Deal lengthEvery extra month costs money; long processes favor flat or annual pricing.
- Feature tierRedaction, single sign-on, API access and advanced analytics usually sit on higher plans.
- Security and complianceData residency, custom retention or dedicated hosting push quotes up.
- Service levelOnboarding, index building and round-the-clock support are often priced in.
- Overage and extensionsFees for exceeding storage, page or user limits, or running past the agreed term.
- Archive at closingSome providers charge for an encrypted copy of the room or for keeping it read-only.
Which pricing model fits your business
A starting point by type of user. Your own numbers in the calculator above should have the final say.
| If you are | Usually best value | Why |
|---|---|---|
| Startup raising a seed or Series A | Flat monthly or per user | Few documents, a short list of investors and a tight budget. Avoid per-page billing for pitch materials. |
| Owner selling a small or mid-sized company | Flat monthly | Six to nine months, a few dozen buyers and a growing file set. A fixed fee removes the risk of overage. |
| Investment bank or advisory boutique | Annual flat or multi-room contract | Many rooms a year. Negotiate a framework deal instead of paying per project. |
| Corporate running a large auction | Per project | Hundreds of bidders, heavy Q&A and strict timelines justify full service and a negotiated quote. |
| Real estate fund selling a portfolio | Flat monthly or per project | Large drawings and leases can make per-page billing expensive. Ask for storage-based pricing. |
| Company sharing board or investor updates | Flat monthly (annual) | A permanent, low-traffic room. Annual billing usually gives the best rate. |

| Mid-market M&A auction | 4 to 8 months | Flat monthly or per project | Low to mid thousands of dollars a month |

| Real estate transaction | 3 to 6 months | Flat monthly or per project | $300 a month to five figures per deal |

How to save on a data room
Small decisions before you sign often matter more than the list price.
Six ways to cut the bill
- Get at least three quotes, including one room with published pricing as a benchmark.
- Clean the document set before upload: remove duplicates, drafts nobody needs and blank scans.
- Pick the plan for the deal you have, not the largest deal you can imagine; most providers let you upgrade mid-deal.
- Ask for monthly billing on short deals and annual billing on rooms you will keep open.
- Agree extension terms up front so a slipped closing date does not trigger a premium rate.
- Use the free trial to build the index, so the paid period starts when guests arrive.

Take the quizData room pricing FAQ
How much does a virtual data room cost per month?
Rooms with published pricing in our comparison start from $15 to $299 a month for an entry plan. Full deal rooms for a mid-sized sale usually cost a few hundred dollars a month, and quote-based enterprise rooms often reach several thousand dollars a month on large deals.
What is the cheapest way to run a data room?
For a short, small deal, a flat monthly plan is usually cheapest, because you pay only for the months you use and nothing per page or guest. Check the user and storage limits on the entry plan before you commit.
Why do so many providers only quote?
Enterprise providers price per project based on deal size, document volume, number of bidders, length and service level. Quotes leave room to negotiate, but they make side-by-side comparison harder.
Is per-page pricing still common?
Less than it used to be. Most newer providers bill a flat monthly fee or by storage, but some enterprise vendors still price large deals on page counts. Ask how scanned files and spreadsheets are counted.
What hidden costs should I watch for?
Overage on pages or storage, fees for extra admins or guests, extension charges past the term, archive or export fees at close, and paid onboarding. Ask for each of these in writing before you sign.
Can I try a data room before paying?
13 of the 18 providers we track offer a free trial, commonly 7 to 14 days, and others offer a guided demo. Use the trial to upload a real folder structure and invite a colleague as an outside user.
Do I pay sales tax on a data room subscription?
It depends on your state and how the provider invoices. Software subscriptions are taxable in some US states and exempt in others, so ask whether quotes include tax and use the toggle in our calculator to see the effect.
